How to Use ZeroMind

Everything you need to go from scattered to focused — step by step.

Getting Around

ZeroMind has four primary destinations, always one tap away:

Set Your Focus — Short, Medium & Long Term

Everything in ZeroMind is anchored to your Focus. For each of the three time horizons, answer three questions: what do you call it, how will you know when you've achieved it, and why does it matter. Without a destination and a reason, every task is just noise.

  1. Open the Tools tab, then tap Focus (or go straight to it from the Home dashboard).
  2. For your Long-Term Focus (5–10 years), Medium-Term Focus (1–2 years), and Short-Term Focus (1–3 months): write what you call it, how you'll know you've achieved it, and why it matters. Ask "why" three times to find the real reason.
  3. Tap Backward Planner on any focus to let AI break it down into concrete action steps.
  4. Save. Your Focus now appears inside the Morning Ritual, feeds your Start My Day tasks, and guides all AI prioritization.

Review your Focus every morning in the Morning Ritual. What you review daily, you achieve faster.

Priming — Program Your Subconscious for the Day

Priming is a guided mental conditioning session inside the Morning Ritual. It uses contrast psychology — vividly feeling the pain of failure, then the pleasure of success — to activate deep motivation before your day begins.

  1. Start the Morning Ritual from the Home dashboard (the Ritual quick action) or from the Tools tab.
  2. Step 1 reviews your Focus. Read it slowly — absorb it.
  3. Step 2 is Priming. Move through each screen: your life if you fail, your family, your career, your feelings — then flip to success.
  4. The Visualization screen gives you 60 seconds of silence. Close your eyes. Feel it as already real.
  5. The final Priming screen asks: what will you do TODAY to move closer? This bridges mindset into action.

Do not skip the full 60-second visualization. That silence is where the real programming happens.

Morning Ritual — Your Daily Operating System

The Morning Ritual is a 5-step guided flow that runs every morning. It replaces scrolling social media with intentional clarity: review your Focus → prime your mind → capture today's tasks → review what's undone → let AI prioritize everything.

  1. Tap the "Ritual" quick action on the Home dashboard (or open it from the Tools tab).
  2. Step 1: Review your Focus. Step 2: Priming. Step 3: Brain dump — add every task on your mind for today, including any Backward Planner steps you want to tackle.
  3. Step 4: Review — decide for each task: Do it Today, Schedule it, Delegate it, or Dump it.
  4. Step 5: AI Prioritization — AI reads your Focus and today's tasks, then assigns P1–P4 priorities. Accept or override each one.
  5. Tap Finish. Your day is structured and your cockpit is ready.

Run it in under 15 minutes every morning. The compounding effect over 30 days is extraordinary.

Today's Focus — Execute What Matters

Your daily task list, organized two ways: by Category (see all areas of your life) or by Priority (P1 → P4 ranked). This is your command center during the day — check things off, update statuses, stay locked in.

  1. Tap "Today's Target" on the Home dashboard, or open Today from the Tools tab.
  2. Switch between "By Category" and "By Priority" tabs using the toggle at the top.
  3. Tap any task to open its detail: update status (To Do / In Progress / Paused / Done), add notes, schedule it for a later date, attach links.
  4. In By Priority view, tap the "HIME Auto-Prioritize" button to let AI re-rank your tasks against your goals at any time.
  5. Use the ← → arrows to navigate to yesterday or tomorrow.

P1 tasks are non-negotiable. Finish them first, every day, before anything else.

Idea Capture — Never Lose a Thought Again

Your brain is for having ideas, not storing them. The Idea Capture page is your frictionless dump zone — capture thoughts instantly before they disappear, then process them into tasks later.

  1. Tap the "Idea" quick action on the Home dashboard (the lightbulb), or open Ideas from the Tools tab.
  2. Type your idea or tap the mic button to speak it.
  3. Ideas are saved instantly with a timestamp.
  4. Use AI Brainstorm: type a goal and AI generates 5 related task ideas to spark your thinking.
  5. Tap any AI suggestion to capture it immediately. Tap any saved idea to promote it to a full task.

Capture everything — filter later. The friction of "is this worth writing down?" costs you more than the 2 seconds of capturing it.

Powerful Lists — Projects, Checklists, and More

Beyond daily tasks, ZeroMind lets you maintain persistent lists — project backlogs, shopping lists, reading lists, meeting agendas. These live separately from your daily focus so they don't clutter your day.

  1. Open the Tools tab and tap "Lists".
  2. Tap "+ New List" to create a list with a name.
  3. Add items to your list. Each item can be checked off.
  4. Lists persist until you delete them — they are not date-bound like today's tasks.
  5. Use lists to park backlog items, then pull from them during the Morning Ritual brain dump.

Keep one list called "Someday / Maybe" for ideas you are not ready to commit to yet.

Routine Programs — Automate Your Habits

Programs let you define recurring routines — morning exercise, weekly reviews, daily affirmations — and ZeroMind automatically adds those tasks to your daily view on the right days. Build habits without having to remember to schedule them.

  1. Open the Tools tab and tap "Programs".
  2. Create a new program with a name (e.g. "Morning Health Routine").
  3. Add tasks to the program with recurrence: daily, weekly on specific days, or custom.
  4. The program tasks appear automatically in Today's Focus on their scheduled days.
  5. Check them off daily — they reset the next occurrence automatically.

Start with just 3 non-negotiable daily habits. Consistency beats variety.

Money Map — Track What Moves Your Income

Money Map connects your financial goals to your daily actions. Track income targets, log progress, and see clearly whether your daily tasks are moving the needle on your financial goals — not just keeping you busy.

  1. Open the Tools tab and tap "Money Map".
  2. Set your monthly or annual income target.
  3. Log income events or milestones as they happen.
  4. Review the map regularly to see if your activity is producing financial results.
  5. Adjust your tasks and priorities if the map shows you are off track.

If your P1 tasks are not connected to income or your main goal, reconsider whether they should be P1.

AI Brainstorm — Never Stare at a Blank Screen

Stuck on what to do next? AI Brainstorm takes your goal and generates 5 concrete, actionable task suggestions that complement what you already have. It responds in the same language you write in.

  1. Go to the Ideas page.
  2. Scroll to the AI Brainstorm panel at the bottom.
  3. Type your goal or context in any language (Indonesian, English, etc.).
  4. Tap Generate — AI returns 5 task suggestions tailored to your input.
  5. Tap any suggestion to instantly capture it as an idea.

Be specific with your goal prompt. "Prepare for Singapore speaking event" gives better suggestions than "work".

AI Prioritization — Let AI Rank What Matters Most

ZeroMind uses the HIME framework (High Impact, Minimal Effort first) and your goals to rank every task P1–P4. You review the suggestions and accept or override each one — AI advises, you decide.

  1. Run the Morning Ritual to reach Step 5 (AI Prioritization) for a full daily ranking.
  2. Or, in Today's Focus → switch to "By Priority" tab → tap "HIME Auto-Prioritize" any time.
  3. AI reads your short, middle, and long-term goals then assigns priorities to each task.
  4. Review the suggestions — tap any task to toggle its recommendation on or off.
  5. Tap Finish (wizard) or the button applies immediately (Today view).

If AI puts something at P4 that you feel is urgent, trust your gut — override it. AI advises based on your goals, not your context.

AI Life Coach — Talk Through Anything

The AI Life Coach is a full-screen chat that knows your Personal Blueprint and your Focus. Ask about priorities, decisions, habits, or anything on your mind — it responds with context about who you are and where you are headed, not generic advice.

  1. Tap the "Coach" tab (the chat icon) in the bottom navigation, or Coach in the left sidebar on desktop.
  2. Type your question in the composer at the bottom and send — the coach replies in context.
  3. Complete Self Authoring first for the richest coaching: your Blueprint gives the coach deep context. It still helps without one.
  4. Tap the back chevron (top-left) at any time to return Home — your conversation is saved for the day.

Use the coach when you feel stuck or scattered. Describe the situation plainly and ask "what should I focus on?"

Voice Input — Speak Instead of Type

Every text field that accepts notes or task names has a mic button. Tap it, speak, and your words are transcribed instantly. Works in multiple languages — set your language once and it remembers.

  1. Tap the 🎙️ mic button next to any input field (task notes, idea capture, etc.).
  2. Speak clearly — transcription is live.
  3. The text appears in the field automatically. Edit if needed.
  4. To change the language: tap the language badge below the mic button and pick from the list.
  5. Or open Settings (from your avatar menu, top-right) → Voice Input Language to set it globally.

Voice is fastest for long notes and brain dumps during the Morning Ritual step 3.

Any Device, Always Synced

ZeroMind runs on the web and as a native Android app, and everything syncs in real time across all of them. Add a task on your phone; it appears on your laptop in seconds. It also works offline and syncs when reconnected.

  1. On Android, install the ZeroMind app for the best native experience.
  2. On any device, open https://zeromind.app in a browser — mobile, tablet, or desktop.
  3. Sign in with your Google account; all data syncs automatically across devices via Firebase.
  4. Prefer a web shortcut? On mobile you can still add the site to your Home Screen from the browser menu.
  5. Offline: you can still view and edit tasks. Changes sync automatically when your connection returns.

The web app updates itself automatically — you are always on the latest version.

Delegate Tasks & Invite Your Team

Not everything needs to be done by you. On any task, you can delegate it to another ZeroMind user by their email. They receive a notification and the task appears in their list. You can delegate to multiple people and track who has what.

  1. Open any task and scroll to the "Delegate To" section.
  2. Type the email address of the person you want to delegate to and tap Find.
  3. If they have a ZeroMind account, their name appears — tap Delegate to send.
  4. If they are not on ZeroMind yet, tap "Send Invite" — they receive an email invitation from you.
  5. You can delegate the same task to multiple people. Each appears as a card with a Remove option.

Open Settings from your avatar menu (top-right) → Invite a Friend to send a general invitation without a specific task attached.
